Data Requests
Requests for Public Data
Members of the community may request access to public data under the Minnesota Government Data Practices Act and District Policy 113.
How to Submit A Request
Email datarequest@edinaschools.org.
Once your request is received, the district will:
- Confirm receipt
- Provide a general timeline for the response
What to Expect
To fulfill your request accurately and efficiently, the district may contact you to:
- Clarify or gather additional details
- Share any potential costs or prepayment requirements
- Coordinate timing, including partial or rolling responses
You have the right to:
- Inspect public data at no cost (by appointment)
- Request copies of public data
- Receive an explanation of the data upon request
How Requests Are Fulfilled
Types of Data
If Data Does Not Exist
If the district does not have the data you requested, you will be notified as soon as reasonably possible.
If Data is Not Public
If the requested data is not public, you will receive a written explanation, including the legal reason the data cannot be shared.
If Data is Public
If the requested data is public, the district will:
- Schedule a time for you to inspect the data (free of charge), or
- Provide copies of the data as soon as reasonably possible
Delivery Options
Data requests may be delivered in the following ways:
- Physical copies for pickup or mailing
Important Notes and Requirements
- The district is not required to create new data to fulfill a request
- The district is not required to provide data in a specific format if it is not already maintained that way
- Data requests must be for existing data (not general questions)
Costs
There is no charge to inspect public data. If you request copies, the following may apply:
- 100 pages or fewer (black and white): Up to $0.25 per page
- More than 100 pages or electronic data: The district may charge the actual cost, including staff time to search for and retrieve data, and copying, sorting, and transmitting data
No charges will be applied for:
- Separating public from private data
- Redacting private information
- Directory Information
Limitations
Directory Information
Under Minnesota law, schools are not allowed to share certain student or parent contact information as directory information.
This includes:
- Home address
- Phone number
- Email address
- Other personal contact details
As a result, Edina Public Schools does not provide this information to outside organizations.
Military Recruiter Requests
State and federal law require secondary schools to provide the following student information to military recruiters upon request:
- Student names
- Addresses
- Phone numbers
This information may only be used for military recruitment purposes, and it may not be shared beyond official recruiting personnel. If a parent or student opts out of sharing this information with military recruiters, then the data cannot be disclosed to a military recruiter without prior written consent.
